Enrollment Terms & Conditions

The following terms apply to all students and parents enrolled at Hong Kong Drum Academy (HKDA).

Our policies ensure flexibility while maintaining lesson consistency.

📌 Tuition & Lesson Calendar

Monthly tuition is a flat fee due on the 1st of each month.
Each student receives 48 lessons per calendar year.
Some months have 3 lessons, while others have 5 lessons to balance out the 48 lessons annually.
HKDA is closed on public holidays (see calendar below).
Tuition is collected via Autopay through Stripe.
Additional admin costs may apply for non-Autopay methods.
A grace period until the 5th is provided.
A $100 late fee applies after the 5th.
Tuition unpaid for more than 2 weeks will result in forfeiture of your lesson slot.
No refunds or discounts once tuition is paid.

📌 Credits & Usage Policy

All lesson credits, makeup credits, and practice room credits are non-transferable and may only be used by the registered student.
Credits cannot be shared, transferred, or exchanged with siblings, friends, or other students.
Each type of credit follows its own validity period (e.g. makeup credits expire after 90 days).
In all cases, all credits will automatically expire 12 months from the date of issue, regardless of individual credit policies.
Any unused credits will not be extended, refunded, or reinstated under any circumstances.
Credits will be forfeited upon membership termination and cannot be carried forward.

📌 Missed Lessons & Makeup Policy

✅ 1-on-1 Lessons

Up to 3 makeup lessons every 90 days with at least 24 hours’ notice via the HKDA Student Portal or WhatsApp.
You must cancel via the Student Portal. Informing your teacher alone is not valid.
Makeup credits are valid for 90 days from the original lesson date.
If no in-person slots are available, students will receive a virtual lesson or custom video lesson plan.
If your teacher is absent:
- A substitute teacher will be arranged, OR
- A makeup credit will be issued

✅ Group Lessons

If you give at least 24-hour notice:

Up to 2 makeup credits every 90 days
Must cancel via Student Portal (not teacher)
Makeup credits valid for 90 days from original lesson date
If cancelled by staff, a makeup credit will be issued

❌ No Makeups For:

1-on-2 lessons (lesson continues if one student attends)
Missed makeup lessons
Severe weather (Black Rainstorm / Typhoon Signal No. 8+)

⚠️ Important

All makeup credits must be used within 90 days AND within 12 months from date of issue (whichever comes first).

📌 No-Show Policy

Students who fail to attend a lesson without prior notice will forfeit the lesson.
No makeup or credit will be issued.

📌 Public Holidays & School Breaks

HKDA is closed on public holidays and selected school holidays.
Makeup lessons may be scheduled during breaks depending on availability.

📌 Summer Hold (June – August)

You may pause membership for up to 2 months with 1-month advance notice.
To retain your teacher & time slot, pay 50% of monthly tuition.
Membership automatically resumes on September 1st.
No pauses allowed outside summer period.

📌 Severe Weather Policy

Lessons are canceled when Black Rainstorm or Typhoon Signal No. 8+ is issued.
Lessons resume 2 hours after signals are lowered.
Makeup options:
- Virtual lesson OR
- Custom lesson plan

📌 Health Policy

Stay home if unwell.
Notify HKDA at least 6 hours before your lesson to reschedule (max once per 90 days).
More than 1 illness absence within 90 days requires a medical certificate.
Rescheduled lessons count toward your makeup limit.

📌 Teacher Assignment

HKDA reserves the right to assign or change teachers when necessary.
All efforts will be made for consistency, but teacher changes do not qualify for refunds, credits, or cancellations.

📌 Schedule Policy

Weekly lesson time is fixed.
Schedule changes are subject to availability and not guaranteed.

📌 Student Responsibilities

Arrive on time (no extra time for late arrivals).
Bring required equipment (sticks, instruments, materials).
Consistent practice is expected for progress.

📌 Practice Room Rentals

Students receive discounted rates for practice rooms and band rooms.
Book via WhatsApp (subject to availability).

📌 Safety & Liability

HKDA takes reasonable care to provide a safe environment.
Students attend lessons and use HKDA facilities at their own risk.
HKDA is not responsible for any injuries, accidents, or personal loss occurring:
- on the way to or from lessons
- within the studio premises
- during lessons, practice sessions, or events
Parents/guardians are responsible for ensuring students are fit to participate in lessons.

📌 Damage to Property

Students and parents are responsible for any damage to HKDA property, equipment, or facilities caused by misuse or negligence beyond normal wear and tear.
HKDA will determine the cost of repair or replacement.
Payment must be made within 7 days of notice.
HKDA reserves the right to suspend lessons or services until payment is settled.

📌 Discontinuation Policy

Membership renews automatically each month.
To withdraw, provide 1-month written notice via WhatsApp or email.
Membership is non-transferable and non-refundable.
All unused credits are forfeited upon termination.
A $800 re-registration fee applies for returning students.

📌 Data Privacy & Media Consent

Photos/videos may be used for training, marketing, and quality assurance.
